Position Overview
We’re seeking an Operations Coordinator to join our multidisciplinary team focused on delivering innovative solutions for water and wastewater infrastructure. This role is ideal for a self-starting professional who thrives in a fast-paced environment and who want to make a real impact by supporting high-level leadership across a dynamic, multidisciplinary organization. The ideal candidate will support the successful delivery of cutting-edge projects, collaborating with an amazing team, and maximizing value to our clients.
Key Responsibilities
- Project Leadership
- Contribute to complex projects or key tasks from initial concept through to completion.
- Coordinate with multidisciplinary teams to ensure seamless project execution.
- Client Engagement
- Build and maintain strong relationships with clients, understanding their needs and expectations.
- Technical Delivery
- Support and assist project managers and project leaders in successful assignment delivery.
- Quality Assurance:
- Develop, implement and own quality control processes to ensure project deliverables meet the highest standards.
What You’ll Be Doing
- Assist and support management in business development, administrative correspondence, managing calendars, priorities, and follow-ups.
- Keep documentation organized and easily accessible, ensuring the accuracy of meeting minutes and decisions taken.
- Write, revise and edit documents, reports, proposals, presentations, and other materials as required. Organize and maintain files and correspondence, update databases and information management systems.
- Prepare final invoices for all billable projects, including all applicable backup.
- Provide support with proposal preparation, ensuring proper formatting and content organization.
- Assist in the consolidation and reporting of monthly performance data (e.g., revenue, utilization, backlog).
- Support development of dashboards and slide decks for reporting.
- Coordinate onboarding, training and other compliance and performance tasks for staff.
- Support travel planning, conference attendance logistics, and professional development activities for employees.
- Assist with developing and preparing a variety of written documents, including technical reports, work plans, business cases, Standard Operating Procedures, and terms of reference.
- Complete tasks accurately and efficiently with minimum supervision.
- Performing other related duties, as assigned.
Qualifications
- Education: A diploma or degree in Business Administration, Project Management, or a related field is preferred
- Experience: Experience in administrative support, project coordination, or a related role. Experience in the construction, engineering, or project management industry is an asset.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with Deltek Vantagepoint (or similar accounting and resource planning systems) is a plus.
- Strong focus on accuracy and quality control in document preparation and formatting.
- Excellent written and verbal communication skills, as well as strong organization skills.
- Ability to work well with others under deadline situations and respond to changes in priorities.
- Prior billing experience in the construction, engineering, or project management industry
